Benefits Assistant

Key responsibilities include managing weekly, monthly, and quarterly census filings with various vendors, reconciling benefits invoices against enrollment data to ensure accuracy, and preparing retirement plan and other benefits-related invoices for payment. The Benefits Assistant also maintains employee personnel files by scanning, indexing, and safeguarding confidential documents, processes mailings related to firm-sponsored benefits programs, and assists with drafting, distributing, and tracking required Benefits Plan compliance notices. Additionally, the role involves supporting benefits-related audits and filings, including Form 5500 submissions, and contributing to special projects as assigned.
The ideal candidate possesses stellar administrative skills and proficiency with the Microsoft Office Suite, along with the ability to thoroughly proofread, prioritize work, and manage multiple tasks effectively. A strong work ethic, initiative, and excellent communication skills are essential, as is the ability to provide professional, employee-facing support. A foundational understanding of federal and state compliance requirements—including ADA, COBRA, and HIPAA—is required, along with 2–3+ years of experience in employer benefits administration. Prior law firm experience is helpful but not required.
