The Legal Secretary at Eqvilent plays a pivotal role in supporting the legal function of a Dubai-based proprietary quantitative and algorithmic trading firm operating across multiple jurisdictions, including the UAE, UK, Malta, India, and Hong Kong. This position is integral to the firm's operations, providing comprehensive administrative and document support to ensure the smooth execution of legal processes. The ideal candidate will be detail-oriented, proactive, and capable of managing multiple tasks efficiently.

In this role, the Legal Secretary is responsible for producing, formatting, and proofreading a variety of legal documents such as agreements, letters, memos, board resolutions, powers of attorney, and corporate consents. They will also maintain and update the legal function's document management system, ensuring all executed agreements, corporate documents, regulatory filings, and correspondence are filed correctly. Additionally, the Legal Secretary will conduct quarterly database audits to identify and remediate gaps or expired entries, reporting findings to the Head of Legal.

Candidates should have a minimum of three years of experience as a legal secretary, legal PA, or legal administrator in a law firm, in-house legal department, or professional services environment. An international firm or financial services background is advantageous. A secondary or post-secondary qualification in legal studies, business administration, or a related field is preferred; a legal secretary or paralegal certification (e.g., CILEX Foundation, ILSPA) is beneficial but not required. Demonstrated experience preparing embassy letters, NOCs, employment certificates, and similar standard-form correspondence independently is essential. Familiarity with DocuSign (or equivalent electronic signature platform) is required, along with advanced proficiency in Google Workspace and Microsoft Office suite.
