Services Executive Assistant
Gilbert + Tobin, a leading Australian law firm, is seeking a full-time Services Executive Assistant to join their Melbourne office. In this dual-role position, the Services Executive Assistant will provide administrative and coordination support to the Services team while also acting as a float Executive Assistant to various practice groups. Key responsibilities include managing diaries, correspondence, and documentation for assigned partners or teams, overseeing daily office operations such as mailroom and facilities functions, and ensuring the setup and smooth running of meeting rooms and firm events. Additionally, the role involves assisting with front-of-house duties, supporting work health and safety initiatives, and contributing to process improvements and team projects.
The ideal candidate will have previous experience in a corporate environment as an assistant or in a similar administrative role. Strong organizational and time management skills are essential, along with a proactive, hands-on attitude and the ability to work effectively across teams. Proficiency in Microsoft Office and a high level of attention to detail are also required. Excellent written and verbal communication skills with a professional, approachable manner are crucial for success in this role.
