Executive Assistant (AI-Savvy)
Overview
We are seeking a highly organized and tech-savvy Executive Assistant to support a fast-paced business environment. This role requires someone proactive, detail-oriented, and comfortable leveraging AI tools to improve efficiency across administrative, communication, and operational workflows. The ideal candidate is confident managing executive communications, handling documents, and supporting day-to-day operations while working independently.
Key Responsibilities
Executive & Administrative Support
● Manage and organize inbox (Microsoft Outlook)
● Draft, respond to, and prioritize emails
● Handle phone calls professionally on behalf of the business
● Calendar and scheduling support
Task & Project Management
● Track tasks, deadlines, and deliverables
● Support ongoing projects and ensure follow-ups are completed
● Assist with internal coordination and execution
Document & Contract Support
● Format and edit documents professionally
● Work with contract templates and customize them as needed
● Support basic legal/admin documentation (paralegal-style tasks)
Systems & Process Management
● Utilize Microsoft 365 tools (Outlook, Loop, Lists)
● Maintain organized digital systems and workflows
● Improve processes using AI tools Requirements
● Strong experience with Microsoft Outlook & Microsoft 365 (ESSENTIAL)
● Experience using AI tools (ChatGPT, automation tools, etc.)
● Excellent written and verbal English
● Strong organizational and multitasking skills
● Experience in document formatting and admin workflows

● HubSpot experience
● LinkedIn management or marketing exposure
● Paralegal or legal admin experience
