Key responsibilities include preparing and managing billing to ensure accuracy and timeliness, assisting with matter budgets and financial tracking, running conflict checks, opening new matters, and preparing engagement letters. The coordinator will also coordinate and track matter deadlines, maintain team calendars, support the collation and submission of legal directory submissions, and assist with team knowledge resources such as precedents and templates.

Administrative and document support duties encompass processing expense claims, managing travel arrangements, providing diary management support, formatting short documents, converting and merging PDFs, running document comparisons, and handling printing, scanning, and bundling tasks. The role also involves updating CVs and assisting with matter file management in iManage, including maintaining structure and saving correspondence.

Office and team support responsibilities include supporting Front of House during peak periods or absences, assisting with the coordination of office-wide activities and events, and contributing to smooth daily operations and a high standard of client service across all touchpoints.

The ideal candidate will have 3-5 years of relevant experience in a law firm or professional services environment, with prior experience supporting a finance or transactional practice preferred. They should possess intermediate to advanced Microsoft Office skills, strong organizational skills with attention to detail, and a proactive, mature, and collaborative approach to managing work and relationships across teams. A commitment to working in an inclusive team environment and the ability to work both independently and as part of a team are essential. Demonstrated ability to innovate and streamline processes is also desired.
