Eqvilent is seeking an experienced and proactive Office Manager to serve as the operational backbone of our Malta office, ensuring smooth and efficient daily operations. This role encompasses full ownership of office management tasks, including vendor relations, supply management, purchasing, expense tracking, onboarding logistics, and the maintenance of clear internal processes. The Office Manager will be instrumental in fostering a well-organized, cost-effective, and dynamic workplace environment.

Key responsibilities include overseeing daily office operations, managing front-desk activities such as welcoming visitors, handling calls, deliveries, and mail, and supporting employees with their day-to-day office needs. The role also involves maintaining office supplies and groceries, coordinating maintenance and repairs, managing relationships with vendors and service providers, handling end-to-end purchasing processes, monitoring office-related expenses, preparing expense reports, and developing and maintaining practical office procedures.

The ideal candidate will have solid experience in office management or operations roles, with strong English communication skills, both spoken and written. Excellent organizational skills with strong follow-through, a keen analytical mindset with attention to numbers and details, and comfort working with budgets and cost tracking are essential. The candidate should possess a practical problem-solving mindset, the ability to handle unexpected issues calmly, confidence in working with office equipment and everyday technology, and the ability to create clear, structured, and actionable process documentation. Being currently based in Malta or willing to relocate is required.

Preferred qualifications include experience with task management tools such as ClickUp, Notion, or Miro, proficiency in Google Workspace (Docs, Sheets, Slides), experience with global purchasing or logistics coordination, basic project management skills, and experience working with distributed or remote teams.
