Medical Records Coordinator (Temporary)
Spring Health is seeking a detail-oriented Medical Records Coordinator to join our Care Support team. This temporary position focuses on processing medical records, including sending patient authorization forms, retrieving medical files, and facilitating form completion from members and providers. The role requires a fundamental understanding of HIPAA regulations concerning member privacy and records release requests. This position offers an opportunity to contribute to our mission of eliminating barriers to mental health by providing non-clinical administrative support to our members and providers.
Key responsibilities include uploading records requests and patient authorization forms, processing medical record requests and provider letters, and building relationships with providers, patients, and internal teams for effective medical records management. The coordinator will assist members with Mental Health Leaves & Accommodations (MHLA) requests, liaising with providers and third parties as needed. Additional duties involve responding to emails, supporting inbound and outbound phone calls, assisting with patient support tickets, and ensuring the confidentiality of patient PHI by following HIPAA guidelines. Maintaining a consistent workflow by processing all requests within 24-48 hours of receipt and monitoring incoming requests to report any suspicious release of medical records are also essential tasks.
The ideal candidate will have a minimum of one year of experience in a similar role, with an advanced understanding of medical terminology and HIPAA regulations. Outstanding communication and interpersonal abilities, strong attention to detail, and excellent organizational and time-management skills are essential. Proficiency with Adobe Acrobat, Google Sheets, Google Docs, and MS Office is required. The candidate should be comfortable in rapidly changing environments with evolving responsibilities, tech-savvy, and capable of multitasking and context switching effectively.
This temporary position offers a competitive hourly wage ranging from $25.13 to $29.49, determined by factors such as experience, location, internal pay equity, and other relevant business considerations. While this role is not eligible for non-statutory benefits, there is an opportunity to extend or become permanent full-time based on performance and business needs. Flexibility to support occasional shift adjustments, including working one weekend per month and at least four holidays per year, is preferred. Advance notice will be provided when possible. This position reports to a Care Support Team Lead.
