Office Services Specialist (On-Call)
The Office Services Specialist (On-Call) at SPS-North America is a dynamic role designed to provide flexible, supplemental support across various office functions. This position involves assisting with mail and shipping, reception, hospitality, facilities, and copy/print services, ensuring seamless operations in the absence of regular staff or during peak periods. The specialist will be based out of a designated client "home office" and may be dispatched to different client sites on short notice, requiring adaptability and a proactive approach.
Key responsibilities include processing and sorting inbound and outbound mail and packages, maintaining accurate chain-of-custody records, and adhering to shipping procedures. The role also encompasses supporting copy and print production, scanning, imaging, and binding services, while ensuring that all equipment is stocked and functioning properly. Additionally, the specialist will maintain organized office spaces, restock supplies, support meeting room setups, and assist with light maintenance tasks as needed.
Candidates must possess strong communication and customer service skills, with the ability to interact professionally with clients, guests, and team members. Proficiency in MS Office and office technology, including working knowledge of multi-functional device (MFD) equipment, is essential. The role requires a high school diploma (or equivalent) and at least six months of prior work experience. Applicants should be highly organized, capable of multitasking, and able to manage time effectively in a fast-paced environment. The ability to work independently, follow shipping and receiving procedures, and proactively seek additional tasks during downtime is also important.
